Congratulations on your engagement! The next year or two will be the most exciting (read: stressful) time in your life. Help the planning process go more smoothly by being prepared for each aspect of your big day.

When choosing a Philadelphia wedding reception venue, you’ll have an entire To Do list to tackle before you even start making appointments to tour venues. Here is a list of what you’ll need to know, questions to ask, and things to consider before choosing your wedding event venue:

  • Number of Guests. Before you can even begin your hunt for an event space, you have to know how many people will be coming.  Keep in mind that not everyone you invite will be able to come to the wedding, so don’t worry about nailing down an exact number. Instead, have an idea, such as 100-120, or 200-250.
  • Budget. Before you go falling in love with an event venue, set a budget for yourself. Research venues in advance and don’t tempt yourself by setting appointments at spaces you know you can’t afford.
  • Locations. Will you have the ceremony in a church, or would you prefer all of the festivities to take place at one venue?  Knowing this in advance will help you be efficient with your time. After all, if you’re having your ceremony in a church, you won’t need to worry about potential ceremony spaces on the site at the reception venue.

With budget and head count in hand, you may now visit reception spaces. Be sure to ask the following questions when you visit the venues:

  • Venue Capacity. How many people can the space hold?  If there are multiple spaces at one venue, are there capacity differences with each space? Do they have adequate chairs for both the ceremony and the reception if both your ceremony and reception will take place on one site? How does the staff handle the room transition?
  • Catering. Does the venue have an in-house caterer?  If so, is it mandatory that you use them, or are you permitted to bring in an outside caterer? If you must use the in-house caterer, be sure you do a tasting before you commit.

  • Planning Services. Does the venue provide a coordinator who will be responsible for event on the big day? Will he or she be available to assist you with the lighting, decorations, menu, entertainment, etc?
